SUMMARY

This position provides executive administrative and client-facing support for the Account Management team and is responsible for managing and executing special projects as assigned. These projects may include, but not limited to, logistics coordination and support for key client requirements and initiatives. Communicates routinely with CSG leadership team(s). This role is based out of Chicago, Il.


RESPONSIBILITIES

Administrative

  • Handle sensitive/confidential information requiring a high level of discretion.
  • Expense reports, travel, and calendar management for CSG team
    • Arrange travel under guidance and in accordance with policy.
  • Communicate professionally and effectively with Armada, client, and 3rd party executives and their team members.
  • Manage and maintain all pertinent contact information for Armada, clients, targets, suppliers, 3rd parties, etc., including social networking platforms (e.g., LinkedIn), industry venues, and CRM related applications.
  • Coordinate communication with building management, management/procurement of office supplies, and be the point of contact with other Armada offices on administrative matters.
  • Cultivate relationships with Armada personnel, client personnel, 3rd party venues, etc., to plan and execute in and out of office Armada and client related functions and logistics.
  • Solicit and execute support requests from CSG team members.

QA Logistics Projects & Support

  • Engage with client representatives to understand initiative requirements and support action plan development
  • Coordinate with transportation providers to identify cost effective freight solutions to meet client objectives
  • Coordinate follow up relative to issues based on routine tracking and resolution activities.
  • Coordinate with functional areas within Armada to ensure that necessary operational processes are in place for new business implementations
  • Ensures key client project data is maintained in a timely and accurate manner within their proprietary systems
  • Other project management support as assigned.

Organization and Planning

  • Arrange and reserve conference rooms, catering and other equipment for meetings and conferences as needed.
  • Coordinate and arrange logistics for external functions including meetings, conferences, entertainment, receptions and dinner arrangements.
  • Prepare official agenda for meetings.
  • Compile materials for meetings without significant direction and instruction.
  • Coordinate with Marketing department in maintenance of client and related industry event listings and coordination of Armada participation and attendee preparation.

Document Management and Creation

  • Prepare professional business communication documents including memos, letters, emails, and presentations.

SUPERVISORY RESPONSIBILITIES

  • None

QUALIFICATIONS

Education and Experience Requirement

Minimum:

  • 1-3 years in an administrative or supply chain related capacity - distribution, transportation, planning, forecasting, procurement, quality systems, etc.
  • Foodservice industry experience highly desirable
  • Relevant work experience. A bachelor's degree preferred.

Language and Technical Skills requirement

  • Ability to be politely assertive when making information request with good follow up skills
  • Initiative and resourcefulness in collecting needed information from varied sources
  • Excellent verbal communication and interpersonal skills; able to effectively communicate ideas, problems and solutions.
  • Strong MS Office (Word, Excel, PowerPoint) and Outlook skills
    • CRM experience a plus
    • MS Project a plus
  • Excellent analytical and problem-solving skills.
  • Effective time management and scheduling skills
  • Understanding of logistics and supply chain management terms and concepts, preferred

  • Work is usually performed in an office environment with normal noise levels. Involves prolonged sitting, and computer usage. Limited remote work opportunities at discretion of manager.
  • Work involves travel and visits to Client, Supplier, Distribution Center offices and/or warehouse facilities (10%).
