We are seeking a dynamic, skilled, and customer-oriented Administrative Assistant to join the Computer Science Department. This position provides support to faculty members, their associated teams and projects. You will assist with the administrative workflow within the department, and support budget and other related processes as mentioned below. You may represent the department on campus-wide projects and initiatives while acting as a resource to less experienced staff.

Core Responsibilities

  • Faculty/Administrative Support: Completes general office tasks, such as maintaining appointment calendars and scheduling. Interacts with teams of UG, MS, PhD students, post docs, technical staff, visitors and other collaborators on faculty supervisor's research and education activities. Provides scheduling within group. Arranges for equipment needed by team. Oversees business environment and processes for teams. Enhances communication by creating, updating and managing websites, shared directories, databases, digital information archives. Conducts data and statistical review to create summaries and presentations for faculty. Arranges travel for domestic and international faculty team trips. Works on special projects as assigned. Examples include but are not limited to information gathering projects, proposal assistance, research & promotion document preparation, and building/maintaining web pages.
  • Financial Support: Monitors expenditures and accounting statements for adherence to sponsored project and other internal budgets. Procures goods and services (with guidance from campus procurement support), negotiates pricing, and arranges payments using PCARD, special service payments, contracts, purchase orders, wire transfers and other means. Handles expense reimbursements for faculty team travel and general business activities. Completes audit finding reports and recommendations. Serves as liaison to other university contacts and uses information resources to ensure compliance with university, college and department rules and regulations.
  • Course and Event Management: Plans, organizes and supports events such as seminars, workshops, conferences, meetings, retreats at locations on- and off-campus. Coordinates use of blackboard and canvas course systems for faculty upon request. Prepares posters and advertisements for classes and events.
  • Representation / Professional Development: Attends university, college, department, or team meetings. Garners information, establishes credibility, and provides input and feedback as representative for a faculty team, staff group or special committee. Attends learning and development activities to stay abreast of rapidly changing work environment. Serves as committee member when volunteering or nominated. Contributes to process documentation and knowledge base for department.
  • Other related duties as required.

Qualifications:

  • Associate's Degree
  • Three to Five years of experience with administrative support, data entry, office management, and word processing.
  • Excellent interpersonal, communication, and organizational skills, as well as good analytical and problem-solving skills.
  • Be proficient with Microsoft Office products (Word, Excel, etc.), and other document processing/storage resources such as Google Docs and Box.
  • Familiarity with Workday, Oracle and other university systems would be helpful.
  • Adaptability, excellence, and passion are vital qualities within the School of Computer Science.
